Who We Are

Tipp City Veterinary Hospital, Inc. (“Tipp City Veterinary Hospital,” “TCVH,” “we,” “us”) is a veterinary hospital at 4900 S. County Rd. 25A, Tipp City, Ohio 45371. This policy explains how we collect, use, and share information through tippvet.com, through our online forms and payment portal, and when you call, email, or text with us, including calls and texts handled by our AI phone assistant.

Pet medical records are not covered by HIPAA, the federal law that protects human health information. We treat them as confidential anyway, as described below.

Information Recorded at Our Hospital

Our campus uses video and audio recording, and our veterinarians use AI transcription tools to help write medical notes. See Video and Audio Recording and AI Transcription and Medical Notes below.

Information Collected Automatically

When you visit tippvet.com, our website and our analytics and advertising providers collect standard technical information: your IP address, browser and device type, the pages you view, how you reached the site (for example, from a search or an ad), and the date and time of your visit. Some of this is collected with cookies and similar technologies – see Cookies, Analytics, and Advertising below.

Information from Others

  • Other veterinarians and specialty hospitals that have cared for your pet, when they send us records.
  • Pet insurance companies and financing providers, such as confirmation that a claim was paid or that financing was approved.
  • Reviews and comments you post publicly about us, for example on Google or Facebook.

How We Use Information

  • To answer your questions, schedule and confirm appointments, and send appointment reminders and reminders when your pet is due for care.
  • To examine, diagnose, treat, and follow up on your pet.
  • To bill for our services and process payments.
  • To understand how people use our website, and to improve it.
  • To measure and improve our advertising, such as learning whether an ad led someone to contact us.
  • To keep our hospital, website, and systems secure, and to meet our legal and professional obligations.

Phone Calls and Our AI Phone Assistant

We use an AI phone assistant to help answer calls, return calls, and send and reply to text messages for things like scheduling, appointment reminders, and general questions. When the assistant handles your call, the call is recorded and transcribed so our team can follow up accurately and so we can review and improve the service. You can ask to speak with a member of our team at any time.

The company that provides the assistant stores and processes these recordings and transcripts to provide the service to us, and may also use them to maintain and improve its service, under its own terms and privacy policy.

Your Pet’s Medical Records

Your pet’s medical records stay confidential. We share them only:

  • With others involved in your pet’s care, such as specialty and emergency hospitals we refer you to, outside laboratories, and imaging specialists.
  • With people you authorize, such as a new veterinarian, a family member, or your pet insurer.
  • When the law requires it, for example rabies vaccination reporting, a valid subpoena or court order, or a request from a veterinary licensing board or public health authority.

How We Share Information

We do not sell your personal information, and we do not share it with other companies for their own marketing. We share information only in these ways:

  • Service providers who work for us: website hosting, online forms, email, our phone, texting, and AI phone assistant systems, our practice management software, AI transcription for medical notes, payment processing, analytics, and advertising measurement. They may use it only to provide their services to us, except as described in Phone Calls and Our AI Phone Assistant above. Some features on our website come from other companies that collect information under their own privacy policies – see Features from Other Companies below.
  • Veterinary partners involved in your pet’s care, as described above.
  • Our family of businesses: Tipp City Veterinary Hospital, Zoomies Veterinary Surgery & Dental, and Tipp to Tail Pet Resort are all part of the same company, Tipp City Veterinary Hospital, Inc. We may share information among them to coordinate your pet’s care and to run the business. This never includes your mobile number or text messaging consent for marketing purposes – see Text Messages below.
  • Financing and insurance: when you apply for financing through a link on our site, you apply directly with that company, under its own privacy policy. When you ask us to, we confirm treatment and costs with your financing provider or pet insurer.
  • Legal and safety reasons: to comply with the law, to respond to lawful requests, or to protect the rights, property, or safety of our clients, patients, team, or others.
  • Business changes: if our practice is sold, merged, or reorganized, client records would transfer with it, and this policy would continue to apply to information collected under it.

Text Messages

Tipp City Veterinary Hospital texts appointment confirmations and reminders, reminders when your pet is due for care, updates about your pet on the day of a visit, notices when medications or records are ready, and replies when you text us. We do not send marketing texts.

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties.

Reply STOP to any message to stop texts, or HELP for help. Our full Text Messaging Terms (link to /text-messaging-terms/) explain the details.

Cookies, Analytics, and Advertising

We use Google Analytics to understand how visitors use our site, and Google Ads to advertise and to measure whether our ads work. These services use cookies and similar technologies. We may also use Google’s remarketing features, which can show our ads to people who have visited our site before. Google handles the information it collects under its own privacy policy.

Your choices:

Our site does not currently respond to “Do Not Track” browser signals, because there is no common standard for how to honor them.

Features from Other Companies

Some parts of our website are provided by other companies. When you visit a page that includes one of them, that company may set its own cookies and collect technical information about your visit, such as your IP address, browser and device, and the page you are on, under its own privacy policy:

  • Cherry, our payment-plan partner, provides the payment-plan estimator that appears on our pages. If you apply for a payment plan, you apply directly with Cherry.
  • JotForm receives and stores what you send through our online forms and payment portal on our behalf.
  • Google provides maps on some pages.
  • YouTube displays video content.
  • Cloudflare is a Content Delivery Network (CDN) provider, which assists in efficient retrieval and display of webpage content.
  • Stripe provides miscellaneous payment processing.

Video and Audio Recording

For the safety of our patients, clients, and team, we use video and audio recording throughout our campus, inside our buildings and outdoors. Our new client paperwork tells you recording is in use. If you are on our campus, you are likely to be recorded. We never record in restrooms.

We use recordings to keep people and pets safe, to secure our campus, to review and improve the care we give, and to answer questions about what happened during a visit. Only authorized members of our team can view them. We may share a recording with law enforcement, our insurers, or our legal advisors when it is needed to investigate an incident or when the law requires it.

AI Transcription and Medical Notes

Our veterinarians use AI transcription tools to help them write and maintain your pet’s medical notes and records. During an appointment, the conversation may be recorded and transcribed so the veterinarian can focus on your pet instead of a keyboard. The veterinarian remains responsible for what your pet’s medical record says.

The recordings are processed by our transcription provider, which may keep them. Your pet’s medical records stay confidential as described in Your Pet’s Medical Records. AI transcription is part of how we practice, and we are not able to turn it off for individual visits. If you have questions about it, please ask us before your appointment.

Photos, Videos, and Testimonials

We love sharing our patients’ stories. We often take photos and video around our campus, including in exam rooms and treatment areas, and we sometimes host film crews working alongside our team. Your pet may appear in this footage, and we may use it on our websites and social media, in educational materials, and in advertising. Our new client paperwork explains this, and signing it gives us permission to use your pet’s image only. We always ask you first, each time, before we use your own image, your name or your pet’s name, or anything about your pet’s story or medical care. We publish an owner’s words only if they posted them publicly, such as in a Google review, or told us we may use them, and we identify them by first name and last initial, or however they ask us to. If you would like something about you or your pet removed, contact us and we will take it down from our website and social media accounts.

How We Protect Information

We use reasonable administrative, technical, and physical safeguards, including encrypted connections to our website, restricted access to records, and secured, backed-up systems. No system is perfectly secure. If a security breach affects your personal information, we will notify you as the law requires.

How Long We Keep Information

We keep medical and billing records for as long as veterinary regulations and our business needs require. Inquiries from people who do not become clients are kept only as long as reasonably needed to respond and to maintain ordinary business records.

Your Choices and Requests

You can ask us to:

  • Tell you what personal information we hold about you.
  • Correct information that is wrong.
  • Delete information we are not required to keep. Medical and billing records usually must be kept for a period set by law.
  • Send you a copy of your pet’s medical records, or send them to another veterinarian.
  • Stop text messages (reply STOP) or email updates (use the unsubscribe link, or contact us).

Contact us using the details below. We may need to verify your identity before acting on a request, and we will respond within a reasonable time.

Children

Our website is meant for adults. We do not knowingly collect personal information from children under 13. If you believe a child has sent us information, contact us and we will delete it.

Links to Other Sites

Our site links to services we do not run, such as financing applications, payment pages, maps, and social media. Their own privacy policies apply when you use them.

Changes to This Policy

We may update this policy as our practice and services change. We will post the new version here with a new “last updated” date.
